Position Overview
The Pearl Ellis Gallery is seeking a collaborative and organized Arts Administration Assistant to support our exhibitions, communications, and day-to-day operations.
This is a part-time role within a vibrant, volunteer-run gallery that showcases local artists and fosters community connection through the arts. The position offers hands-on experience, flexible scheduling, and the opportunity to contribute meaningfully to a dynamic, community-focused organization.
Working closely with board members and volunteers, the Assistant will help ensure smooth operations, provide continuity across exhibitions and programming, and support the ongoing growth of the Gallery.
The role is intended as a part-time employee position, though a contract arrangement may be considered depending on the successful candidate.
Term & Hours
Start Date: June 1
Term: 1 year, with potential renewal (up to 3 years)
Hours: Approximately 12 hours per week
Flexible schedule; some hours may be completed remotely depending on monthly administrative needs
Occasional evenings/weekends for events
Key Responsibilities
Support daily gallery operations alongside volunteers and board members
Assist with administrative tasks (records, consignment sheets, sales tracking)
Help prepare exhibitions (labels, materials, installation support)
Contribute to social media, newsletters, and communications
Learn and maintain gallery procedures, stepping in as needed
Support and guide volunteers in day-to-day processes
Assist with events and programming
Experience & Skills
Required
Strong organizational and time-management skills
Clear written communication
Ability to work independently and collaboratively in a volunteer-led environment
Comfortable and resourceful with digital tools (e.g. Google Workspace, email, basic design or scheduling tools), with the ability to learn new systems and troubleshoot independently
Interest in visual arts, nonprofit work, or community programming
Assets
Experience in an arts or nonprofit setting (paid or volunteer)
Familiarity with social media and tools like Canva
Interest in exhibitions or gallery operations
Supervision
Reports to the Board President and works closely with board members and volunteers.
Compensation
$20/hour
Approximately $12,500 annually
Funded through a multi-year grant with additional organizational support
